Gardeners Longford Health and Safety Policy
Gardeners Longford is committed to providing gardening and grounds care services in a manner that protects the health, safety and wellbeing of our employees, customers, visitors and members of the public. This policy sets out our approach to managing health and safety across all work locations, including private gardens, residential developments and commercial outdoor spaces.
Our Health and Safety Objectives
Our primary objectives are to prevent injury, ill health and damage to property, and to continually improve our health and safety performance. We aim to identify and control risks associated with gardening work, machinery use and site conditions, while maintaining high standards of customer service and workmanship.
Management Responsibilities
Management at Gardeners Longford is responsible for implementing and maintaining effective health and safety arrangements. This includes:
Ensuring that suitable and sufficient risk assessments are carried out for typical gardening activities such as grass cutting, hedge trimming, tree work, planting, landscaping and waste handling. Providing and maintaining safe equipment, vehicles, tools and materials, and ensuring they are suitable for the tasks being performed. Putting in place clear procedures for incident reporting, near-miss reporting and emergency response. Monitoring performance, investigating incidents and taking corrective actions to prevent recurrence. Ensuring that this policy is communicated to all staff and reviewed regularly to reflect changes in legislation, guidance, work practices and equipment.
Employee Responsibilities
Every employee has a personal responsibility to protect their own health and safety, as well as that of colleagues, customers and others who may be affected by their actions. Employees are expected to:
Follow all safety instructions, training and site rules provided by Gardeners Longford. Use tools, machinery and vehicles only when authorised, trained and competent to do so. Wear and correctly use the personal protective equipment provided, such as gloves, eye protection, safety footwear, high visibility clothing and hearing protection, where required. Immediately report hazards, defects, accidents, near-misses and unsafe conditions to management. Refrain from any behaviour that could put themselves or others at risk, including working under the influence of alcohol or drugs.
Risk Assessment and Planning
Before starting work at a garden or grounds maintenance site, a suitable level of risk assessment and planning will be carried out. This includes:
Assessing the terrain, access routes, slopes, unstable surfaces, water features and other physical conditions that may affect safe working. Identifying underground and overhead services, such as cables and pipes, where relevant to the task. Reviewing potential risks from plants, wildlife, pesticides, fertilisers and other substances. Taking into account weather conditions and seasonal factors that may influence safe work, including heat, cold, rain, wind, ice and reduced daylight. Agreeing safe systems of work, including the order of tasks, traffic routes, exclusion zones and emergency arrangements.
Use of Tools, Machinery and Vehicles
Gardeners Longford will ensure that all equipment used is properly maintained, inspected and suitable for the work. This includes powered gardening tools, hand tools, ladders, access equipment and vehicles used to transport workers, tools and green waste. Only trained and authorised staff may operate powered machinery and vehicles.
Pre-use checks must be completed before equipment is used. Any defects must be reported immediately and defective equipment taken out of service until repaired or replaced. Guards and safety devices must never be removed or bypassed. Fuel, oils and other substances must be stored, transported and used safely.
Safe Working Practices on Site
We are committed to maintaining safe working conditions at every customer property. This includes:
Keeping work areas as tidy as reasonably practicable and reducing trip hazards from tools, hoses, cables and waste. Establishing safe working distances when using powered cutting tools or machinery that may throw debris. Using appropriate barriers or warning signs where work may pose a risk to the public, customers or other contractors. Taking particular care when working near roads, driveways, shared access paths and parking areas. Planning and supervising working at height activities, including work on ladders, steps and in trees, in line with recognised safety principles.
Manual Handling and Ergonomics
Gardening and grounds maintenance often involve lifting, carrying and repetitive tasks. Gardeners Longford will seek to minimise manual handling risks by planning work carefully, using mechanical aids where reasonably practicable and providing training in safe lifting techniques.
Staff should avoid lifting loads that are too heavy or awkward for them. Where possible, loads should be broken down into smaller units, and team lifting used for heavier items such as large bags of materials, machinery or bulky waste.
Chemicals, Fertilisers and Hazardous Substances
Where Gardeners Longford uses products such as fertilisers, weed control treatments, fuels, oils or cleaning agents, we will assess risks and implement controls in line with relevant guidance. Only suitable, approved products will be used.
Products will be stored, diluted, applied and disposed of in accordance with manufacturer instructions and relevant safety data information. Appropriate personal protective equipment will be provided and used where exposure is possible. We will take care to prevent contamination of soil, plants, wildlife, pets and water features.
Training, Information and Supervision
All staff will receive information and training relevant to their roles and the equipment they use. This may include induction training, on-the-job instruction, refresher training and specific courses for higher-risk activities.
Less experienced staff will be supervised more closely until they demonstrate competence and confidence in their tasks. Supervisors will monitor work practices, provide guidance and intervene where unsafe behaviour or conditions are observed.

Gardeners Longford encourages open communication about health and safety. Employees are invited to raise concerns, suggest improvements and participate in discussions about safer ways of working.
We review this policy and our procedures at regular intervals, and whenever significant changes occur in our activities, equipment or legal requirements. Our goal is to continuously develop safer, more efficient and environmentally responsible gardening services throughout our service area.

This Health and Safety policy is approved by the management of Gardeners Longford and will be reviewed periodically to ensure it remains current, effective and appropriate to the scale and nature of our gardening operations.
